  • A preferred supplier list is normally available from the operators head office.  Confirm with operator.

  • Conform to operator’s brand standards   and minimum product standards.  Confirm with operator.

  • Conform to local cultural needs. Confirm with hotel.

Green Issues.

Buyers should consult the ‘Green Resources’ section on this site and take this into account for the tender process.   Products and manufacturing should be sustainable in terms  energy, water and resource efficient. At the end of their life can they be reused, refurbished, recycled or upcycled?

First Tasks

 

  • Obtain and review the following from operator: operating policies, preferred suppliers, corporate brand and minimum standards and corporate OS&E lists and quantity coefficients. (if available) Ensure these are  taken into account in the procurement process.
  • Crosscheck OS&E scope(from Robert)  with other scopes eg FF&E, kitchen, electrical, plumbing, AV,IT to ensure no nil or double counts.
  • Check order process timeline(from Robert) with project timetable taking into account  current supplier lead times.
  • Check colours and finishes required with designer eg for equipment in public spaces like eg bins, customised products.
  • Agree suppliers (from Robert) with Client and operator.
  • Red Flag report. Follow up with main suppliers to check lead times eg in view of Covid 2019 virus. Confirm if they hold stocks eg in EU UK.
  • Identify which products to be procured  by Client locally .
  • Identify customised items with long lead times and address first.
  • Obtain opening date.
  • Prepare list of items to be installed and discuss with PM.
  • Review of location, local culture, special local needs, hotel operations policies in terms of product requirements.
  • Identify products that may need to conform to local regulatory standards e.g. electrical, fire, safety, health and hygiene.
  • Establish source of resupply of goods, spare parts and consumables for hotel when in operation.
  • Identify Items that require local consumables/local support?
  • A sample room/mockup room (MUR) presentation is normally required to review the FF&E and OS&E. Consult with hotel, owner and designer
  • A public area furniture and furnishings review is required. – Consult with hotel, owner and designer.
  • A presentation of core OS&E is required eg hairdryer. Consult with hotel GM  to confirm which items are required for presentation.

Tableware

  • A tabletop sample review is required to review the main items.  Normally the  hotel GM and F&B manager choose the product lines they prefer. See ‘tabletop ‘ procedure on this site.
  • Ensure that products conform to local standards and cultural norms.  Confirm with hotel –  GM and F&B manager.
  • Coloured chinaware to match interiors.  Confirm with hotel and ID.
  • Buyer to send pdf catalogues  to hotel for review. Review with hotel.
  • Hotel to identify which samples they require. Review with operator.
  • Power point moodboards are useful at this stage. Include a power point of the buffet equipment.
  • Equipment design to reflect interior design of outlet. Confirm with hotel/ID.
  • Check tableware is dishwasher proof. Confirm with Supplier.
  • Check tableware is resistant to scratches and daily hotel wear. Confirm with Supplier
  • Make sure that shelving height is appropriate for glasses.  Check with Kitchen /Bar Consultant
  • Some countries require by law measure indications on glass eg 2cl or 4cl, .25 ltr, .33 ltr – Confirm with supplier and hotel
  • What size of wine glasses are required?  Confirm with hotel
  • What tableware is required for guestrooms?  Confirm with hotel.
  • Are  mugs or tea cups/saucers required for guestroom? Confirm with hotel.
  • Are  special water glasses and whisky glasses  required? Confirm with hotel.
  • What other signature items required? Confirm with hotel.
  • Are sherry glasses required? Confirm with hotel.
  • What cocktail glasses required? Confirm with hotel.
  • Are different style of tableware required in each restaurant? Confirm with hotel.

Conference and banqueting

  • A typical generic list of washroom items is provided, based on the hotel configuration.
  • Check with Project manager (PM) to see if provided for  in another contract eg building contract.  Final requirement should be in accordance with architectural plans and be coordinated with PM .

  • Double check Kitchen Utensil and Stewarding OS&E lists with main kitchen contract to ensure that there are no double or nill counts – Crosscheck kitchen contract
  • Buyer should confirm that all equipment is compatible with equipment in main kitchen contract and in trolley section, in particular dimensions – Crosscheck kitchen contract
  • Speciality utensils lists eg Chinese Utensils to be prepared locally – Confirm with hotel
  • It is important that appropriately sized trays, dish/glass washing trays, plate cassettes +trolleys are purchased – Check with supplier and kitchen contract

  • Buyer to confirm with supplier the spare parts requirement for hotel use. Spare parts should be available for a minimum period of six years – Confirm with Supplier
  • Many hotels have too much spare stock. It is important to have spares for a fabric or carpet that it is used in large spaces such as corridors and ballrooms but a hotel will need proportionately less spare stock of materials that are used in smaller spaces such as guestrooms. Spare stock should only be kept of specially made materials or items; even then spares should not normally exceed 2 or 3 % at most. Replacements for stock items should be purchased as required. –
  • If consumables are required to be used with the equipment eg tissue box holder, photocopiers then Buyer to ensure that local consumables are available and provide details of the local contact – Confirm with Supplier
