Housekeeping – OS&E 


i. Scope

The Housekeeping department maintains the cleanliness and functionality of guest rooms and public areas. OS&E items include operational tools and mobile equipment such as trolleys, vacuums, bins, amenity trays, ironing boards, linen carts, caddies, and other portable appliances or supplies required to support daily cleaning operations.


ii. Standards

Should comply with standards including:

  • Fire & Life Safety: Flame retardant fabrics and compliant storage of cleaning materials.
  • Electrical Safety: All powered devices (e.g., vacuums, irons, steamers) must meet ANSI, EN, BS, or local equivalents (e.g., SONCAP in Nigeria).
  • Food & Hygiene: Applicable to minibar and amenity handling—non-toxic, sealed, and washable materials required.

iii. Samples / Brochures for Approval

  • Brochures: Required for all catalogue items.
  • Samples: Required for key guest-facing or critical items such as waste bins, amenity trays, or ironing boards.

iv. Project Stakeholder Input

  • General Manager (GM)
  • Executive Housekeeper
  • Rooms Division Manager
  • Hotel Engineer (for powered tools)
  • Interior Designer (for visible guestroom items)
  • Fit-out Contractor / GC (for any built-in integration)

v. Sustainability

Preference given to:

  • Equipment made from recycled/recyclable or certified sustainable materials
  • Modular or repairable products (e.g., replaceable vacuum parts, washable filters)
  • Energy-efficient equipment and tools with verified eco-certifications
  • Durable items with long manufacturer warranties and service support

vi. Installation

  • Delivery and installation to align with project programme
  • Assembly according to supplier’s guidelines
  • Coordination with MEP and storage area readiness required
  • Storage protection required for early-delivered items

vii. Other Important Points

  • Storage space suitability for larger trolleys and equipment
  • Local servicing and parts availability is preferred
  • ADA / BS 8300 compliance for ergonomic and accessible operation

viii. Functionality

  • All tools and equipment should be easy to use, maintain, and transport
  • Designs must prioritize staff ergonomics to reduce strain and training time
  • Wheeled items must be suitable for flooring type and tight turning spaces
  • Electrical tools should ideally be cordless and lightweight for flexibility

1. Vacuum Cleaners
Specify models with the right accessories and spare parts (e.g., belts, filters) suited to regional voltage and plug types. Accessory configurations can influence pricing, so a local product demonstration is recommended for final selection and accurate budgeting.

2. Housekeeping Trolleys
Selected based on lift and door clearances, with bumper wheels to protect corridor finishes. Castor type is matched to flooring (e.g., marble or carpet). Linen bags and compartments should be pre-specified.

3. External and Apartment Units
Review operational needs for cleaning villas or serviced apartments, including whether standalone vacuums or service carts are required for each unit.

4. Durability and Lifecycle Costing
Prioritize robust models with good spare parts availability over cheaper, short-life alternatives. Total lifecycle value often exceeds initial cost considerations.

5. Ergonomics and Staff Usability
Design and equipment must suit a diverse team with varying physical capabilities. Tools should reduce physical strain, be intuitive to use, and require minimal training.

6. Storage Considerations
Ensure trolleys and large equipment fit in designated BOH stores without obstructing passageways or fire escape routes.

7. Sustainability Practices
Recommend low-energy devices, washable vacuum filters, and suppliers with strong environmental commitments. This aligns with modern brand standards.

8. Cleaning Chemicals and Consumables
Clarify if cleaning agents, gloves, cloths, and bin liners are specified under OS&E or sourced operationally. This affects storage planning and budgeting.
